Split Distribution

General Ledger – Transaction Codes – Add

 

In invoice entry, to utilize a preset list of G/L accounts that the invoice is normally charged, or a calculated percentage split, enter the split code instead of account#/s.  In order to use a preset code, you must first create a transaction split code.  Menu option is File – Transaction Codes. Object Type is always SPLIT.

 

Ex. 1: The following example shows the setup for a flat amount split distribution of telephone expense between (usually) five different accounts.

Check the Flat rate and click the Splits button.

 

Add a transaction code name and description.

 

Object Type is usually a generic “Split” object type.

 

 

Click OK when finished.

 

Add lines for each G/L account# normally charged for an invoice that will use this Split Distribution code (TELEPHONE).  The amount column is left blank so the correct amount can be entered on the fly during invoice entry.

Ex. 2: The following example shows the setup for a 50/50 percentage split for telephone expense between two accounts.                                 

The object type is usually a generic “Spilt” object type.

 

Click OK

 

Check  the Split Distribution box and whether this will be a percentage or flat rate split.

 

This code will be the splits code, which will automatically divide the JE, P.O. or invoice amount into the accounts assigned in this split.

 

 

You are now ready to set up the account numbers and the rate to charge each.

Click OK when finished.

 

Click the Add button to start adding splits.

 

If this is a percentage split, the totals must add up to 100%. 

 

 

 

Enter the percentage (or flat) rate and the account number to be charged.  This shows 50% will be charged to this account.

 

 

This screen will also come up when you use this split code during entry. It will allow you to change the splits on-the-fly.  Here’s what it will look like during entry.

You can change the individual amounts or the % rate.

 

Note that you have the option to update the original split if you wish.
